Design-partner scenario

An education non-profit that is audit-ready all year

Three donors, five projects and shared office costs — with every grant kept separate and donor reports produced in each donor's format.

Illustrative company built from our industry kits — not a customer. Results and quotes appear only in approved customer stories.

Three donors, five projects and shared office costs — with every grant kept separate and donor reports produced in each donor's format.

The challenge

  • All donor money went through one bank account, and spending was split between grants in a spreadsheet afterwards.
  • Each donor wanted a different report layout, rebuilt by hand every quarter.
  • Audit preparation took weeks of finding receipts and approvals.

How the work runs now

  1. Each payment is charged to a grant and budget line when it is recorded, with the receipt attached.
  2. Shared office costs are allocated across projects by an agreed rule, the same way every month.
  3. Donor reports come straight from the books in each donor's layout, so audit is a review of evidence already in place.
